A video is one of the most effective ways to deliver information in an online course. To expand the video's audience, you can add captions. This way, the video will be available to hearing-impaired users or foreigners who need a translation.

You can add captions with Microsoft PowerPoint, included in Microsoft Office 2016, 2019 or a Microsoft Office 365 subscription.

iSpring Suite 9 allows you to publish a PowerPoint presentation to the HTML5 format, preserving all PowerPoint effects and features, including captions.

Check out this video to learn how to add captions to a video in PowerPoint.

Also, feel free to read the step-by-step guidelines for setting up video captions.

Adding a Video to a Presentation Slide

The first step is to add a video clip to a slide.

  1. Launch PowerPoint, select a slide, and open the Insert tab. Next, click the Multimedia menu and choose Video. Finally, click on the Video on My PC option.

  2. Locate the video file on your computer, select it, and click Insert

  3. The video has been added to the slide.

Adding Captions to a Video

The second stage is adding captions to the inserted video. Create a caption file in advance.

  1. Select the video on the slide and open the Playback tab. Next, open the Insert Captions menu and choose the Insert Captions option.

  2. Locate a WebVTT file (a file with the .vtt extension) on your computer and click Insert.

You can add multiple caption files to a video, such as translations into different languages.

  3. The captions have now been added to the video. Click the icon on the toolbar and enable the desired captions.

Publishing a Presentation to HTML5

If you publish a PowerPoint presentation to the HTML5 format, you will be able to add it to a website or blog and download it to a cloud service or a learning management system. You can convert a presentation from PowerPoint to HTML5 using iSpring Suite 9.

  1. Open the iSpring Suite 9 tab and click Publish.

  2. Select any publishing option except Video or YouTube. Next, click Publish.

  3. The presentation is published to the HTML5 format. Now, upload it to the web to watch the video with captions.

When watching a video locally from a computer, the captions won't work.

  4. A special button will appear in the video player. Click on it to select the needed captions.

  5. Now your learners will be able to read captions when watching the video.

Deleting Captions

If you no longer need the captions, delete them from the video.

  1. Click the video on the slide and open the Playback tab.

  2. Next, open the Insert Captions menu and choose Remove All Captions.
