Content Management

This is the most important part of iSpring Online. To manage content, click the Content tab in the title menu.

Content List

“Manage Content” page shows a list of all files uploaded to your account. That’s the starting point for all your operations with the content. But before you move on to doing something with the content, you have to find the necessary entry.

Navigating the Content List

The list of content offers various ways to find your content:

  • Sort by columns You can sort the list of content by title, views, size in megabytes, date of addition (refer to Sorting ).
  • Search by title To find your content by title, type the first letters of the title and wait until the system automatically updates the list of content (refer to Search and Filter for details).
  • Filter by tags To filter the content by certain tags, click the Filter by Tags link. You will see a list of all tags used in your account. Click a tag to select it, click it one more time to deselect. You can also use combinations of tags to narrow down the list of content. Just select several tags, and the list will be updated automatically. You can reset the tag filter by deselecting all tags or by clicking Filter by Tags. A dialog will pop up prompting you to confirm. Click OK, and your content list will get back to its original state.
  • Filter by publisher If you want to display only files uploaded by a certain publisher, select a name of that publisher in the Filter by Publisher drop-down menu. To return to the full list of content, select “All Publishers” in Filter by Publisher.
  • Change the number of elements displayed on a page You can choose the following values for the number of lines in the list: 10, 20, 30, 40, 50 (Refer to Navigation ).

Actions over the content

You can perform the following operations on files right in the content list:

Attention Grabber

  • Play a file by clicking the View View link (refer to “View Content” below).
  • Go to the “Manage Content Item” page by clicking the Manage Manage link or the item title.
  • Delete an item by clicking the Delete Delete link. A new window will pop up prompting you to confirm the deletion.

Warning: once you delete an item, it disappears from the list of content and cannot be viewed. Its usage statistics will be lost.

Manage Content Item

“Manage Content Item” page displays information about a certain content item. It also has all controls to change content attributes (permissions, tags). Besides, this page allows distributing content among your users (Share, Invite). To open the “Manage Content Item” page, click the Manage Manage link or the element title on the “Manage Content” page.

Rename Content Item

To rename a content item:

  1. On the “Manage Content Item” page, click the name of the content item.
  2. Edit the name in the edit field.
  3. Click the Save button.

Edit Description

Description of a content item is shown under its title.

To edit a description:

  1. On the “Manage Content Item” page, click the description of a content item.
  2. Edit the description in the edit field.
  3. Click the Save button.

View Content

Click the View Item button or a content item thumbnail to launch it. Your content will be shown in a new browser window. If a new browser window hasn’t opened, make sure it’s not blocked by your browser. If it is, allow iSpring Online to open pop-up windows (add iSpring Online web site to the exceptions).

Delete Content

To delete a content item:

  1. On the “Manage Content Item” page, click the Delete Delete Item link.
  2. On the confirmation window, click OK .

Warning: content items and their statistics are deleted permanently, this action cannot be undone.

Change Permissions

The entire content can be viewed only by Administrators and their assistants ( Publishers ) by default. To let common users ( Private Viewers ) view the content, open the Permissions tab on the “Manage Content Item” page.

You can grant public or private access to your content. The table below shows the differences between these access types.

New content uploaded to your account has the private status by default. You can change it on the Publish Settings page in the Account Settings section.

To change permissions for a content item

  1. Click the Change button. There will appear radio buttons to switch between access types to a given content item.
  2. Now you can choose between private and publish access for a given content item. Public access has no parameters, while Private allows to select user groups and separate users, who are allowed to view this item.
  3. When you modified access parameters for a given content item, click Save. The page will hide edit elements and return to the view mode.

Note: Administrators and Publishers can view any content by default, so these groups and users cannot be deselected.

Share Content

You can distribute your content among users by sending them a direct link for viewing. To do this, please follow the instructions below:

  1. On the “Manage Content Item” page, select the Share tab. You will see a direct link to a given content item.
  2. Click the Copy button to copy the link to clipboard.
  3. Send the link using e-mail, instant messenger, or a community web site.

Note: direct links do not change from the time content items are added and until they are deleted.

Run Reports

To generate reports for a selected content item directly from the "Manage Content Item" page, please follow the instructions below:

  1. On the "Manage Content Item" page, select the Reports tab.
  2. Choose the report you need in the drop-down menu. The "Content Tracking" tab will update automatically to request input parameters for the selected report (for example: group, user, date range).
  3. Input necessary parameters for the report and click the Run Report button. You will be redirected to the report page. For more information, see View Report .

Note: keep in mind that each content type has its own set of reports. For more information, see Reports .

Change Tags

Tags are a powerful and useful tool to arrange the content by themes. Tags can be added to a content item, when it's uploaded from iSpring (see Publish from iSpringProducts ) or via the web interface (see Publish content via online form ). Even if you didn't add tags from the very beginning, you can add them later on the Tags tab.

Tags

To manage tags, open the Tags tab. You will see all tags assigned to a given content item (if there are any) in the "Selected Tags:" field. To add new tags or change existing ones, please follow the steps below:

  1. Click the Change button. Instead of the static "Selected Tags:" field, the tab will show an input field to add new tags and the "Selected Tags" field, where you can delete existing tags or add tags used in other content items.
  2. To add new tags, which haven't been used in other content items, type them separated with commas in the input field and click the Add button.
  3. To remove tags, click the minus icon ( Minus icon ) in the "Selected Tags" field.
  4. To add tags that were already used in other content items:
    1. Click the Choose from existing tags link. You will see the list of existing tags in your account.
    2. Click a tag with the plus icon ( Plus icon ) you want to add.

Invite People to View Content

To invite users to view your content by email

  1. On the “Manage Content Item” page, open the Invite tab.
  2. Click the Invite button.
  3. For public content:
    1. Type emails separated by commas in the E-mail Addresses field .
    2. Type your invitation in the Custom Message field. This step is optional, but it makes sense to comment on what you ask people to see.
    3. Click the Send button. You will see a notification that invitation messages have been sent.
  4. For private content:
    1. Select user groups and separate users, who you want to send invitations to.
    2. Type your invitation in the Custom Message field. This step is optional, but it makes sense to comment on what you ask people to see.
    3. Click the Send button. You will see a notification that invitation messages have been sent.

If you see a warning that the system failed to send invitation emails to some users, make sure that all email addresses are typed correctly in the E-mail Addresses field or in user profiles. If all addresses are correct, but the email still wouldn’t be sent, contact our Support Team .
